Terms of Service

These Terms of Service (“Terms”) govern access to and use of the QBarber platform, including qbarber.co.uk and related applications. Please read them carefully. Our Privacy Statement explains how we handle personal data.
1. Introduction and acceptance of terms
By creating an account, subscribing, accessing, or using QBarber, you agree to be bound by these Terms. If you do not agree, you must not use the service.
If you use QBarber on behalf of a barbershop or other business, you confirm that you have authority to bind that business, and “you” includes that business.
Shop-owner subscriptions are a business-to-business contract for operational software. Customer-facing queue tools are provided as a convenience to people visiting a participating shop and do not create a contract for hairdressing or barbering services with QBarber.
2. Who QBarber is
QBarber is a United Kingdom-based software platform that provides queue management and related operational tools for barbershops. In these Terms, “QBarber”, “we”, “us”, and “our” mean the operator of the QBarber service.
QBarber supplies software and, where ordered, hardware rental. We are not a barbershop, employer of barbers, or party to any appointment, haircut, or in-shop service between a shop and its customers.

3. Eligibility and account registration
You must be at least 18 years old and capable of entering a legally binding contract under the law of England and Wales to register a shop-owner or staff account.
You must provide accurate, complete, and current registration information and keep it up to date. You are responsible for all activity under your account and for keeping login credentials confidential. Notify us immediately if you suspect unauthorised access.
We may refuse, suspend, or close an account if information is false, if we cannot verify identity where reasonably required, or if we reasonably believe the account is being used in breach of these Terms.
For customer queue data, the shop is the data controller and QBarber is the data processor. QBarber processes customer queue data solely on the shop’s instructions, as described in our Privacy Statement and Data Processing Agreement.
4. Description of services
QBarber provides a software-as-a-service platform that may include:
- Live queue management and estimated wait times
- Shop configuration, branding, and opening-hours settings
- Barber profiles, availability, and status
- In-shop kiosk check-in, barber tablet, public display, and customer mobile access
- Operational analytics and support tools
- Subscription billing for software and optional hardware
- Optional loyalty or reward features may be available to shops. These features are operated by the shop, not QBarber, and may change over time
- Device pairing codes, tokens, and hardware identifiers are used to link kiosks, tablets, and displays to the correct shop
- Some features may use automated or AI-assisted processing to generate queue estimates, analytics, or operational insights. These are indicators only and not guarantees
QBarber includes multiple applications and devices, including kiosk, tablet, display, customer mobile, shop-owner portal, and admin console.
Features may vary by plan and may change over time. We do not guarantee that any particular feature will remain available in the same form indefinitely.
QBarber provides operational tools only. We do not control how a shop runs its business, how barbers work, how long a service takes, or how customers are treated on the premises. Queue times, delays, missed tickets, and customer satisfaction are the responsibility of the relevant shop, not QBarber.
5. Shop owner responsibilities
If you operate a shop on QBarber, you are responsible for:
- Ensuring your use of the platform complies with applicable law, including UK GDPR and the Data Protection Act 2018, in respect of your customers
- Providing any privacy notice your customers need when they join your queue
- The accuracy of shop details, barber information, opening hours, and queue settings
- Staff access, PIN or login sharing, and all actions taken by people you authorise
- The services you provide in the shop, including quality, timing, pricing, and customer complaints
- Payment of subscription and hardware fees when due
- Using kiosk, tablet, and display equipment (if rented) with reasonable care and returning it in accordance with any hardware terms we notify to you
- Any actions taken through impersonation tools by you or your authorised staff
- Keeping device pairing codes secure and not sharing them outside your staff
- Hardware rental is subject to the terms provided at checkout. You are responsible for loss, damage, or misuse of rented devices and may be charged replacement or repair fees. Hardware provided as part of your rental remains the property of QBarber. Faulty hardware will be replaced free of charge during your rental period.
Impersonation and role-based access
QBarber provides controlled impersonation tools that allow authorised users (such as administrators or shop owners) to temporarily view or act through another role within their own shop environment for legitimate operational purposes, including support, troubleshooting, training, and account recovery. These features are restricted to the relevant shop’s data, are subject to role-based access controls, and are logged for audit and security purposes. Impersonation is intended only for legitimate operational use. Misuse of impersonation tools, including accessing roles or data outside your shop or using impersonation for personal advantage, is strictly prohibited and may result in suspension or termination.
You remain the data controller of personal data you collect from your customers through QBarber. QBarber processes that data to provide the service, as described in our Privacy Statement and Data Processing Agreement.
6. Barber responsibilities
Barbers using QBarber through a shop account must use the tools only for legitimate shop operations, keep any PIN or login secure, and not interfere with other users’ tickets or shop data.
Status updates (for example available, busy, or offline) must be used honestly so that queue estimates remain usable. Misuse of barber tools, including manipulating the queue for personal advantage or harassing customers, is a breach of these Terms.
7. Customer responsibilities
If you join a queue as a customer, you agree to provide information that is accurate to the extent you choose to provide it, to follow the shop’s reasonable instructions, and not to abuse the queue (including creating fake tickets or interfering with others).
Joining a QBarber queue does not guarantee a specific wait time, barber, or service outcome. The contract for the haircut or other in-shop service is between you and the shop, not QBarber.
QBarber is not responsible for queue times, shop delays, missed notifications, or dissatisfaction with a shop’s service.
8. Subscription plans, billing, and payment
Paid plans, prices, billing intervals (monthly or yearly), and optional hardware are described on our pricing pages at the time you subscribe. We may change prices for future periods; we will give reasonable notice of material price changes affecting an existing subscription.
Payments are processed by Stripe. By subscribing, you authorise Stripe and QBarber to charge the payment method you provide for recurring fees, applicable taxes, and any hardware charges you order. You must keep payment details current.
Subscriptions renew automatically at the end of each billing period unless cancelled in accordance with these Terms. Failed payments may result in restricted access, suspension, or termination.
Fees are generally payable in pounds sterling unless we state otherwise. You are responsible for any taxes that apply, except taxes based on QBarber’s net income.
9. Refunds and cancellations
You may cancel a software subscription at any time through your account billing tools or by contacting hello@qbarber.co.uk. Cancellation takes effect at the end of the current paid billing period unless we agree otherwise. You will continue to have access until that date.
Except where required by law, subscription fees already paid are non-refundable, and we do not provide credits for unused days in a billing period. Yearly plans are charged in advance for the year and are not refundable on a pro-rata basis after the cooling-off period, if any, that applies to you by law.
If you are a consumer (rather than a business) and a cooling-off right applies to a distance contract, you may cancel within 14 days of entering the contract, subject to any lawful exceptions where digital services have begun with your agreement.
Hardware rental or purchase is subject to the product terms shown at checkout. Hardware provided as part of your rental remains the property of QBarber. Faulty hardware will be replaced free of charge during your rental period. Damage, non-return, or unauthorised modification may result in additional charges.
10. Acceptable use rules
You agree to use QBarber only for lawful barbershop operations and related customer queueing. You must:
- Comply with these Terms and all applicable laws
- Respect other users’ privacy and the security of the platform
- Use only accounts and devices you are authorised to use
- Cooperate reasonably with security checks and support investigations
11. Prohibited behaviour
You must not:
- Probe, scan, reverse engineer, or attempt to gain unauthorised access to QBarber systems, other shops, or other users’ data
- Interfere with or disrupt the service, including by overloading queues, injecting automated fake tickets, or attacking our infrastructure
- Use QBarber to send spam, malware, or unlawful content
- Impersonate QBarber, another shop, or another person
- Resell, sublicense, or provide the platform as a competing service without our written permission
- Circumvent billing, pairing codes, access controls, or usage limits
- Harass, threaten, or abuse staff, other shops, barbers, or customers through the service
- Manipulate queue order, wait times, or ticket flow for personal advantage, including through impersonated roles
We may suspend or terminate accounts, restrict features, or involve authorities where we reasonably believe abuse, fraud, or a security risk has occurred.
12. Intellectual property
QBarber and its licensors own the platform, software, branding, documentation, and all related intellectual property. These Terms grant you a limited, non-exclusive, non-transferable licence to use the service during your paid or authorised subscription, solely for your internal shop operations or, as a customer, to join a queue.
You retain ownership of content you submit (such as shop name, logos you upload, and barber photos). You grant QBarber a licence to host, display, and process that content solely to provide and improve the service.
You must not copy, modify, or create derivative works of the QBarber software except as allowed by law that cannot be excluded.
13. Service availability and uptime disclaimer
We aim to keep QBarber available and reliable, but we do not warrant uninterrupted, error-free, or completely secure operation. The service may be unavailable because of maintenance, internet failures, third-party outages (including hosting or Stripe), force majeure, or events beyond our reasonable control.
Estimated wait times, queue positions, analytics, and AI-assisted predictions are operational indicators only and not guarantees. Actual waiting time depends on the shop.
To the fullest extent permitted by law, the service is provided “as is” and “as available”, without warranties of fitness for a particular purpose, merchantability, or non-infringement.
14. Limitation of liability
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded under the law of England and Wales.
QBarber is not liable for queue times, shop delays, missed appointments or tickets, the quality of in-shop services, or customer dissatisfaction with a barbershop.
Subject to the paragraph above, we are not liable for:
- Loss of profits, revenue, goodwill, or business opportunity
- Indirect, consequential, or special loss
- Loss or corruption of data, except to the extent we are required to restore it under data-protection law
- Losses caused by your breach of these Terms, your internet connection, or third-party services
Subject always to the non-excludable liabilities above, our total aggregate liability arising out of or in connection with the service in any twelve-month period is limited to the greater of (a) the fees you paid to QBarber for the service in that period and (b) one hundred pounds sterling (£100).
15. Indemnification
You will indemnify and hold harmless QBarber and its officers, employees, and contractors against claims, losses, damages, costs, and expenses (including reasonable legal fees) arising from:
- Your use of the service in breach of these Terms
- Your shop’s treatment of customers, including complaints about wait times or in-shop service
- Content you upload, or personal data you collect as a shop controller
- Your infringement of another person’s rights
16. Termination of accounts
You may stop using QBarber and cancel your subscription as described above. We may suspend or terminate access immediately if:
- You materially breach these Terms
- Payment remains overdue after we have notified you
- We reasonably believe there is abuse, fraud, or a security concern
- We are required to do so by law, or continuing would create legal or operational risk
We may temporarily suspend queue access, device pairing, or shop functionality where billing is overdue, compliance issues arise, or misuse is detected. Suspension may be automated based on shop status signals.
On termination, your licence to use the software ends. We may delete or anonymise shop and queue data after a reasonable period, subject to our Privacy Statement and any legal retention duty. We are not obliged to export data except where required by law or agreed in writing.
17. Changes to the service and these terms
We may add, change, or remove features, and we may update these Terms from time to time. The “Last updated” date will change when we revise this page.
If a change is material, we will take reasonable steps to notify account holders, for example by email or an in-product notice. Continued use after the effective date constitutes acceptance of the updated Terms, except where applicable law requires your explicit agreement.
If you do not agree to a material change, you should stop using the service and cancel your subscription before the change takes effect.
18. Governing law
These Terms and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them or their subject matter are governed by the law of England and Wales.
The courts of England and Wales have exclusive jurisdiction, except that we may bring proceedings in any jurisdiction to protect our intellectual property or to recover unpaid fees.
If you are a consumer resident in the UK, nothing in this section affects any mandatory rights you have to bring proceedings in your local courts.
